Beyond the “Toggl vs Harvest” debate: which SMEs truly bill by the hour, why 20% of billable time systematically vanishes in shared Excel sheets, and why we built time tracking into Orizen—so your consultants, tradespeople and agencies stop paying for two tools to do one job.
IWho is it for
For businesses that charge by the hour, not a flat rate.
SME timesheets fall into two extremes: dedicated tools like Toggl/Harvest (good but isolated from the rest, paid extra) and shared Excel (free but unmanageable beyond 5 collaborators). Orizen aims for the middle ground: native time tracking, right where the work happens.
ESN, consulting firm, digital agency
Your consultants bill by daily rate. Today: shared Excel, reconstructed from memory on Friday evening. You lose 8 to 15% of billable time.
1-click time tracking from the project task, manager validation, monthly invoice generated automatically. Reclaim lost time.
Tradespeople, construction, on-site technicians
You bill by the hour or by project. Time tracking on site is done in a notebook or via an evening SMS to the office.
Mobile site time tracking from your smartphone browser, optional GPS, photo + comment attached to the job. Site reports become automatic.
Lawyers, accountants, financial advisors
You bill by time spent per client file. Today: paper notebook or Excel spreadsheet, re-entered in accounting for invoicing.
Time tracking by folder in Orizen, multi-rate based on task type, monthly invoice generated at month-end with a breakdown by service.
Project team manager
You instinctively compare planned time (quote) to actual time spent. You discover project overruns only after the margin is already gone.
Project dashboard: estimated vs actual time, 80% quota alert, daily margin projection updates.
IITime tracking where the work happens
No separate app: time tracking is right next to the task.
Below: the three recurring pain points of time-based billing (forgotten entries, broken Excel, double data entry), Orizen Timesheet’s four core features (timer, auto-invoicing, mobile site tracking, project margin) and an honest comparison vs Toggl/Harvest.
An SME’s daily time-based routine
Three Excel timesheets, one accurate invoice.
The "I forgot to log time"
Friday evening, your consultants reconstruct their week from memory. 20% of billable time disappears. Multiply by 30 employees and 12 months.
The shared Excel that doesn’t hold up
One cell accidentally changed, a broken formula, and the month’s invoice goes out with a 12% error. The client disputes it. You lose cash and trust.
Double entry: time → invoice
Your time entries on one side, your invoices on the other. Accounting re-enters everything. One hour of data entry per client, per month. Nobody complains, everyone endures it.
The Orizen timesheet
Time tracking is right next to the work, not in a separate tool.
1-click time tracking from the task
Start a timer from the project task or intervention. Time is recorded, tagged to the project, client, and billable rate.
Global timer (1 click, multiple days)
Manual entry in 15-minute increments
Retroactive weekly entry in 30 sec
Time-based billing, no reprocessing
Automatic generation of monthly invoices from validated time. Includes service details, rates, and totals per project.
Manager validation → automatic invoice
Multi-rate per collaborator and per file
PDF export + Pennylane compatible
Mobile site time tracking
For tradespeople and construction: time tracking from your smartphone browser, assigned to the current job, automatic site report archiving.
Mobile-compatible with no app to install
Site location as an option
Photos + comment attached to time entry
Manager view: actual vs sold margin
Compare estimated time (quote) to actual time (tracked). Detect overrunning projects before they hurt your margin.
Dashboard per project
“Project overrun” alert at 80%
Monthly reporting per client
Honest comparison
Toggl, Harvest, Tempo — why switch to Orizen?
Dedicated tools do time tracking very well. But they don’t invoice, don’t track your projects and don’t talk to your accounting. You pay for another tool and keep the double data entry.

IVFAQ
Answers to the questions we’re asked most often
Can I enforce mandatory daily time tracking for the whole team?
Yes. You set the frequency (daily, weekly) and the minimum threshold (e.g. 35 h/week). An automatic reminder is sent to the employee if they’re late, and the manager receives a weekly recap of missing entries. Employees on a fixed-day allowance can be excluded from tracking.
How do I go from time tracking to client invoicing?
Once time is validated by the manager, Orizen automatically generates the monthly invoice: one tab per project, detailed breakdown of services, daily or hourly rate as per the contract. You validate the invoice, send it for electronic signature, and the client pays via the integrated link. No need to re-enter time data into another tool.
Can my consultants on-site log time offline?
Retroactive manual time logging works offline: your consultants can enter their week on Friday evening from their smartphone or computer, without a permanent connection. Data syncs as soon as the connection is restored. For real-time timer tracking, a connection is required, but the app keeps the timer active if the connection drops temporarily.
Does this comply with French labour law?
Yes. Orizen retains 3 years of time logs as required by the French Labour Code (Article L3171-2), with timestamped archives accessible in case of a labour inspection. You can exclude non-relevant roles from time tracking (e.g., executives on a fixed-day allowance, directors). Project and client allocation is traced for tax justification of billable time.
How much does the timesheet module cost?
Included in all Orizen plans (Sales, Back-office, 360°). No additional per-user cost. For comparison, Toggl Plan + Harvest would cost around €18 excl. VAT/user/month — roughly €540/month for a 30-person consultancy. With Orizen, time tracking is native, and time-based invoicing is immediate.
Does mobile site time tracking work without installing an app?
Yes. Your tradespeople can access site time tracking via their smartphone’s browser, with no native app download required. The page is mobile-optimised, with optional site geolocation (to confirm on-site presence), and photos + comments can be attached to time logs for intervention reports.
VOur conviction
One hour unlogged is one hour given to the client — often without you knowing.
We’ve supported dozens of ESNs and agencies who, after a few months on Orizen, found they were invoicing an average of 8 to 15% more than with their old Excel. Not because they were cheating, but simply because they stopped forgetting.
Time tracking is rarely seen as strategic. Yet: with 20 consultants at €600/day rate, 1 unlogged hour per day is ~€3,000 in lost margin daily. Over a year, that’s a new car crashed into a wall, with no one noticing.
We built Orizen Timesheet so that time tracking becomes what it should be: a reliable record of work done, logged as it happens, and automatically turned into accurate invoices without a second thought.
