Beyond the ‘Shared Drive vs Notion vs Zoho Client Portal’ debate: why your clients email you 8 times a week for things they could check themselves, how to build a portal that isn’t just a Dropbox folder, and why we integrated the portal into Orizen — so it IS your Orizen from the client’s side, with no double entry or bridge.

I Who is it for

For SMEs that want to professionalise their customer relationships without hiring an account manager.

Your serious clients manage dozens of providers. Without a portal, their only way to find their history with you is to search their emails. They never succeed. You pay in emails, meetings, recreating PDFs. Four profiles keep coming back to us.

Digital agency, ESN, consultant

Your clients ask every week where a project stands or to resend an invoice. You repeat the same info by email.

Project space with client-visible timeline, invoices + online payment, archived contracts. You reclaim 30% of your email time.

Accounting / advisory firm

Your clients never know where their documents are: balance sheet, declaration, certificate. They call you. You resend by email. Again.

Document space structured by client: balance sheets, declarations, contracts. Free downloads, notifications when a document is added.

B2B service provider with recurring support

Your clients open tickets via email, WhatsApp, phone. You lose track. No visibility on resolution time.

Unified ticketing system in the portal. Clients track progress, you retain history, you measure your SLA.

Early-stage B2B SaaS

Your first clients want direct contact + a professional space that inspires trust. Today: Slack + Drive + Notion = chaos.

Branded single portal, multi-user on the client side. Professional image worthy of a scale-up, without investing in three third-party tools.

II Portal branded to your company

Not an add-on: the portal IS your Orizen, from the client’s perspective.

The details below: the three recurring pain points of "no portal," Orizen Portal’s four core functions, what can be enabled or disabled per client, and a comparison vs shared Drive and Zoho Client Portal.

Your clients message you 8 times a week

“Can you resend the
March invoice please?”

The same emails, 12 times

“Can you resend the invoice? The signed contract? The meeting notes? Where’s the project at?” You spend 30 minutes a day on this, times 40 clients.

Dropbox, Drive, email — everywhere except the right place

Sometimes you share a Drive folder, sometimes a Notion page, sometimes a WeTransfer link. Your clients don’t know where to look. Neither do you.

No visibility on satisfaction

How often do your clients check their invoices? How many tickets stay open for too long? You don’t know. You find out when they leave.

vs Shared Drive, Notion, Zoho Client Portal

Drive and Notion are not portals.
They are shared folders.

A real client portal means: your branding, structured data, client actions (pay, sign, open ticket), and native integration with your CRM/invoicing/project tools. Not a Drive folder.

IV FAQ

Answers to the questions we’re asked most often.

Do my clients need to create an account to access the portal?

Yes, but you send it automatically when creating the customer record in Orizen: an email “Here is your personal space” with a first login link. The client sets their password in 30 seconds, with no form to fill. Optional SMS OTP authentication for sensitive or large accounts.

Is the portal truly branded with my own identity?

Yes. Logo, colour palette, typography, favicon, custom subdomain (e.g. space.yourcompany.fr). Transactional emails (invoice notifications, support tickets, contracts to sign) are sent from your domain via your SMTP server. Your clients never see “Orizen” — it’s your brand, your universe, your customer relationship.

Can we have multiple users on the client side (accounting + project + management)?

Yes. You can set up multiple accounts for the same client, each with its own role: accounting sees invoices only, the project manager sees progress, management sees everything. No extra licence required — it’s included in the portal. Each user has their own login, notifications and access rights.

How does the portal connect to my Orizen?

The portal IS your Orizen from the client’s perspective. No double entry, no export. When you issue an invoice in Orizen, it appears immediately in the relevant client’s portal. When the client pays via the portal, the payment is recorded directly in your accounting and the invoice status updates to paid. When a support ticket is opened from the portal, it appears in your support view.

Is client data hosted in France?

Yes. Everything is hosted on OVH Roubaix (Orizen Kubernetes cluster), with data encrypted at rest (AES-256) and in transit (TLS 1.3). Full GDPR compliance: processing register, automated right to erasure, access and logs tracked. No data transfer outside the EU. Health Data Hosting (HDS) compliance in progress for healthcare clients.

Can we enable or disable certain modules per client?

Yes. Each module (invoices, contracts, quotes, projects, support, knowledge base) can be enabled/disabled per client. You tailor the portal to your business and service level. For example: for clients under a maintenance contract, enable support + invoices; for clients in an ongoing project, enable projects + quotes + signatures.

V Our conviction

A client portal is the invisible professionalisation of your SME.

The impression your clients have of your service level rarely depends on the quality of your deliverables. It depends on the smoothness of their day-to-day interactions: finding an invoice without emailing you, tracking a project without calling you, signing an amendment without printing. It’s invisible when it works well—and unbearable when it doesn’t.

Large IT services firms, law firms, and high-profile agencies all have a client portal. Not because they’re wealthy, but because they understand that client experience is defined by the small daily details, not grand events. A well-made portal saves 30 minutes per client per week in emails—multiplied by 50 clients, multiplied by 50 working weeks.

The catch? Until now, SMEs couldn’t afford it. Zoho Client Portal charged €10 per user per month — so €5 per client, assuming an average of 2 users per client. For 50 clients: €250/month, €3,000/year. For most 5-30 person SMEs, the maths doesn’t add up.

So we integrated the client portal into Orizen as a native view of your client record. And we included it at no extra cost — because we’re convinced it’s the foundation of a well-run SME, not a paid add-on.
